Why the UTM spreadsheet breaks, and what replaces it

The shared sheet of campaign links works until it does not. The specific failure points, and the smallest change that fixes them.

Every team starts with a spreadsheet of links. It works, right up to the point where two people edit it in the same week.

How it breaks

  • Copy-paste drift. A row is duplicated for a new campaign and one parameter is not updated. The link works, so nobody notices, and the traffic lands in the previous campaign.
  • Silent cell reformatting. A spreadsheet that decides a parameter looks like a date, or trims a leading zero, produces a link that is still valid and still wrong.
  • No validation at build time. The sheet cannot tell you that medium should be one of five values.
  • No ownership. When a link is ambiguous, nobody knows who chose the parameters.

What actually replaces it

You do not need to abandon the sheet as a record. You need the links to be built somewhere that validates them, so the sheet holds output rather than being the source of truth. That is the whole change: move construction to a tool that knows the vocabulary, keep the sheet as an archive.
